How to Archive Expired Contracts

The short answer
When a contract expires or terminates, move it to archived status — do not delete. Retain executed documents, amendments, notices, and renewal decision logs for your retention period — often seven years post-termination for commercial agreements. Strip archived records from active renewal alerts while preserving searchability. Restrict edit access; allow read for audit and litigation hold. Update vendor master to reflect inactive relationship where appropriate. Archive workflow should capture termination date, reason, and final payment obligations so AP does not pay against expired rates.
